Engagements

How a Cloudapi Pro expense policy compliance check moves from first call to close-out memo.

Team discussing documents around a meeting table

Expense policy compliance work is project-shaped. We do not sell ongoing subscriptions. The path below is the default for our flagship compliance audit; shorter sample tests compress steps 2–4.

  1. Enquiry and conflict check

You send the policy and rough claim volume. We confirm we have no conflicting client relationships in your sector for the engagement period and propose a fee range.

  2. Scope letter

We freeze the claim period, entities, categories, and sampling method. Access credentials or file-transfer arrangements are listed. Work does not start until the letter is signed.

  3. Population and sample

Your team extracts the claim population. We design a judgemental or random sample sized to the risk areas you named — often denser on entertainment and overseas travel.

  4. Testing

Each sampled line is compared to policy thresholds, approval timestamps, receipt rules, and excluded vendors or occasions. Queries go to a single client contact to avoid noise.

  5. Draft findings

You receive an exception schedule for factual comment. We adjust wording where evidence was incomplete, not where the policy is simply unpopular.

  6. Close-out

Final schedule, short memo, and a debrief with finance leadership. Optional follow-up sampling after remediation is a separate engagement.

What we need from you

A current policy, a named coordinator, and timely answers to receipt queries. Delays in access usually extend the calendar more than the testing itself.
