Data controller

Data we collect
- Contact form: name, email, organisation, selected audit interest, and message content.
- Email and phone enquiries: whatever you choose to send us.
- Engagement data: claim records, employee identifiers in claim files, approver names, and policy documents you supply for compliance testing.
- Technical data: limited server logs (IP address, browser type, timestamp) and cookies as described in our cookie notice.
Purposes and basis
We use personal data to respond to enquiries, prepare proposals, perform contracted compliance checks, invoice clients, improve site reliability, and meet legal obligations. For engagements, processing is necessary to perform the contract. For website enquiries, we rely on legitimate interests in responding to business requests, or consent where required.
Retention
Enquiry messages are kept up to 24 months unless a client relationship continues. Engagement working papers and claim extracts are retained for seven years unless the scope letter sets a different period. Server logs are typically rotated within 90 days.
Sharing
We do not sell personal data. We may share data with IT hosting providers, secure file-transfer services, professional advisers, or authorities when required by law. Processors are bound by confidentiality obligations.
International transfers
If claim files or emails are processed on servers outside Hong Kong, we take reasonable steps to ensure appropriate safeguards, such as contractual protections with providers.
Your rights
Subject to Hong Kong personal data law, you may request access to personal data we hold about you, correction of inaccuracies, and information about how we use your data. To exercise these rights, email info@cloudapi-pro.digital. You may complain to the Office of the Privacy Commissioner for Personal Data, Hong Kong, if you believe your rights have been infringed.
Children
Our services and website are directed at business users. We do not knowingly collect data from children.
Changes
We may update this notice by posting a revised version with a new date.
